1. Scope of this policy
This policy describes information handled through the TOPLINE SERVICE website, its public shipment inquiry tools, and its restricted driver and dispatcher workspaces. It also explains the website’s use of Google Analytics.
A carrier, email provider, or other external service may have its own privacy terms. A confirmed shipment or employment relationship may involve additional information and separate documents.
2. Information you provide
Shipment inquiries can include your name, email address, telephone number, preferred contact method, pickup and delivery locations, vehicle year, make, model, condition, preferred dates, and any notes you choose to provide. A calculator estimate can also be attached to an inquiry.
Restricted workspaces can hold staff or driver account information, equipment assignments, photographs, and load-planning details provided by authorized users. Public quote forms do not create a driver or dispatcher account.
Provide only information needed for your request. Do not include payment-card information, passwords, or unrelated sensitive personal details in shipment notes.
3. How information is used
Inquiry information is used to review your route and vehicle requirements, respond through the contact method you request, prepare a proposal, and coordinate follow-up about that request. Selecting a contact method is not a subscription to unrelated promotional messages.
Account and equipment information supports authorized access and operational planning. Technical information can support site reliability, request validation, abuse prevention, and troubleshooting.
4. Inquiry delivery and service providers
When inquiry delivery is connected, submitted details are sent to the company’s receiving email account through an email delivery service. The website’s integrated email provider is Resend. Email inquiries may also receive a confirmation email. If the form reports a delivery failure or an unavailable connection, do not assume the team received the request.
Website hosting, email delivery, and operational storage providers process information needed to provide their services. Authorized team members receiving an inquiry can access the details you submit. Before arranging a shipment, discuss what information is needed by the assigned carrier.
Downloading an inquiry creates a file on your device; the download itself does not send the inquiry.
5. Website analytics and browser storage
The public production website uses Google Analytics 4 to measure page visits. The site’s page-view integration excludes query strings and fragments from the page address it reports, and does not track the restricted driver, dispatcher, or API pages. Google Signals and advertising personalization signals are disabled in this integration.
Analytics can involve cookies and technical information about the browser, device, and visit. See how Google uses information from sites that use its services and our Cookie Policy.
The cost calculator stores your estimate in the browser tab’s session storage so you can move between steps and attach it to an inquiry. This storage can contain route details, vehicle details, and any notes you enter. It is separate from analytics cookies.
6. Retention and security
Inquiry correspondence can remain in the company’s receiving mailbox and the systems used for email delivery. Retention depends on handling the request, any resulting shipment, operational recordkeeping, and applicable obligations. Contact us to ask about the records associated with your inquiry or to request their deletion.
Calculator data is kept for the browser tab’s session. Browser session restoration may preserve it; use your browser’s site-data controls to remove stored data. Downloaded files remain on your device until you delete them.
The restricted workspaces use signed login sessions and protected account access. No website or email system can guarantee absolute security. Do not send unnecessary sensitive information through the public forms.
7. Your requests and choices
You can ask about information submitted through this website, request corrections, or request deletion. Depending on your location and the applicable rules, additional rights may apply. We may need to verify which inquiry or account the request concerns, and some records may need to be retained for a legitimate obligation.
You can control cookies and browser storage through your browser settings. Changing these settings does not automatically delete inquiry emails already submitted. Contact us separately about those records.
Use our contact form and identify your message as a privacy or website-policy request. Include enough information to identify the inquiry concerned, but do not send passwords, payment-card details, or identity documents through the public form.
8. Updates and external links
We may update this website policy when the website’s tools or data handling change. The update date above identifies the current version. External links lead to services with their own policies.
